Create your first event, set up your organizer profile, and learn the basics.
1 Creating Your First Event
Every event on VibePass starts the same way: create an organizer profile once, then create as many events as you like under it. This guide walks through creating your first event from your dashboard.
- From your dashboard, click Create Event in the top right corner.
- Enter your event title, description, and category — these appear on your public event page and help attendees find you.
- Set your event date, time, and timezone (defaults to Africa/Nairobi).
- Choose your venue type: physical location, online event, or to-be-announced.
- Click Create Event to save a draft. Your event stays private until you publish it.
Tip
Your event is saved as a draft automatically as you fill in details — you won't lose progress if you navigate away.
Next steps
Once your event shell is created, add your tickets or products (see Adding Tickets & Products), customize your event page design, and configure how you'll get paid via M-Pesa or bank transfer before publishing.
2 Publishing & Sharing
A draft event is only visible to you and your team. Publishing makes it live on your public event page and available for ticket sales.
Before you publish
- At least one ticket or product has been created and priced
- Your payout method (M-Pesa till/paybill or bank account) is configured
- Your event date, time, and venue details are correct — some fields can't be edited after tickets have sold
- Open your event and go to the Settings tab.
- Click Publish Event. Confirm in the dialog that appears.
- Your event page goes live immediately at your unique VibePass URL.
Sharing your event
Once published, share your event link directly on WhatsApp, Instagram, or Twitter/X, or embed the ticket widget on your own website (see Ticket Widget). Every event also gets a shareable QR code from the dashboard, handy for posters and flyers.
Note
Unpublishing an event after tickets have sold will hide it from new buyers but existing ticket holders keep valid access — it does not cancel or refund existing orders.
3 Event Dashboard
Each event has its own dashboard summarizing sales, attendance, and recent activity at a glance.
What you'll see
- Sales overview — total revenue in KES, tickets sold, and sales trend over time
- Recent orders — the latest purchases with buyer name, ticket type, and payment method
- Check-in progress — how many attendees have checked in versus total tickets sold, once your event is live
- Quick actions — shortcuts to add a ticket, send a message to attendees, or view full reports

4 Organizer Settings
Your organizer profile sits above your individual events — it controls your brand identity, contact details, and default settings that apply across all your events.
What's configurable
- Organization name & logo — shown on your public organizer page and on all your event pages
- Contact email — the address attendees and the VibePass team use to reach you
- Default currency & timezone — pre-fills new events you create (defaults to KES / Africa/Nairobi)
- Default payout method — your M-Pesa or bank account details, used unless overridden per event
Access organizer settings from the dropdown next to your organization name in the top navigation, then select Settings.
5 Organizer Homepage Designer
Your organizer homepage is a single branded page listing all of your published events — think of it as your storefront. Buyers can browse past and upcoming events here even if they don't have a direct event link.
Customization options
- Cover image and logo
- About section describing your organization
- Social links (Instagram, Twitter/X, WhatsApp Business, website)
- Color theme to match your brand
Tip
Your organizer homepage URL is a great link to put in your Instagram bio — it always shows your latest events without needing to update the link.
